Objectives: Providing secretarial & reception services to the Charity.
To support the Chief Executive in administration of governance systems and processes within the Charity.
To provide reception services for the Charity Head Office.
To take the lead in the administrative function, supporting other colleagues and residents.
1. To provide secretarial services to the Charity.
2. Be the first point of contact for the public, visitors and residents when attending the Charity’s Head Office. Answering incoming calls, taking messages and following through where required.
3. Management and distribution of incoming and outgoing post
4. Provide administrative support to the CEO in managing the administrative function, the organisation of meetings and the maintenance of confidential documents and files. In addition to support the finance team functions when required.
4. Provide support to the CEO in the prioritisation of workloads and responding appropriately to requests on their behalf.
5 Provide administrative and secretarial support to the Chairman of Governors, Chairs of Committees and Governors including the organisations of meetings, preparation of agendas, minutes and papers.
Liaising with Governors, CEO, Agents and other staff as required.
6 Organise the Charity’s conference, meeting and communal facilities in addition to arrange attendances at external conferences, away days and other meetings as required.
7. Liaison with residents, their families and visitors as necessary.
8. Responsible for the maintenance of the Charity’s Policy & staff files, social media, databases and operational documentation.
9. Responsible for liaising with the Chaplain and other staff to organise and produce regular communication with residents, staff and visitors
10. Assistance with marketing of the Charity; to include, events, campaigns, website, social media accounts and onsite vacancy management.
11. Assist with the management and maintenance functions of the buildings.
12. During the Chief Executive Officer's absence deal with such matters as
appropriate.
13.. Work collaboratively with the all teams within the Charity’s operation to meet the Charity’s objectives.

1. All staff and volunteers in the Charity are encouraged to contribute to identifying and meeting their own job-related development needs. This will be achieved through a variety of processes including regular 1-2-1’s with Line Managers or senior colleagues, annual appraisal and development reviews.
2. All employees are subject to an annual appraisal and to maximise the benefit from this process the employee must engage fully in the review and agree with their Line Manager organisational, team and personal objectives.
3. Each employee must co-operate and attend all appropriate mandatory and statutory training as required by the organisation and /or their professional bodies.

Skills and Qualifications required
- Able to provide evidence of secretarial and administration skills
- IT literate with RSA / OCR Levels 2 or 3 as minimum
- GCSE grade C or above in English Language and Mathematics.
- Able to maintain confidences and comply with GDPR regulations
- Able to work on own initiative and as part of a team
- Able to demonstrate confidence in own ability and willingness to learn
- Empathy with the elderly and their needs
- Good telephone, oral and written communication skills
- Experience of working with the public
- IT literate with basic systems e.g. Microsoft Word and Excel
