Job Overview

Key Accountabilities/Tasks:
-Tour booking and coordination
-Promote and secure bookings for domestic tours of immersive, accessible theatre both to our existing database of venues and new
venues/geographic locations.
-Co-ordinate dates to ensure the best possible route for our touring team of artists.
-Manage logistics, including booking travel and accommodation for our touring team of artists within set budgets.
-Send pre-performance questionnaires and performance agreement contracts to venues, liaising with key contacts to formalise bookings
and ensure suitability of audience and programme match.
-Tour programme support
-Ensure schools and the Stage Manager have all necessary documentation for the tour.
-Liaise with Associate Director of Education for creation of Teachers’ Companion Packs.
-Provide regular updates to the Project Manager on current position with sold / unsold dates.
-Ensure the touring team have access to an up to date tour schedule complete with accommodation and get in plans.
-Coordinate with the wider Bamboozle team to support the touring programme.
-Act as the main point of contact on working days for the touring company and venue contacts.
-Evaluation and future marketing
-Collate feedback from schools and venues. Keeping a progress report for future marketing and bookings.
-Support the recording of audience numbers and other data as required by our funders.
-Drive future sales through outbound communications to market new tours to our existing database by supporting the Company Marketing Coordinator.

Skills and Qualifications required

Essential Attributes
-Confident communicator with an approachable phone manner.
-Able to research and cold call prospective bookers; this involves making a sales pitch, providing thorough information and implementing diligent follow-up contact.
-Confident in calling schools, discussing audience suitability and the remit of our visits. (Full training will be given on matching audiences to our visits).
-Ability to prioritise tasks, organise and manage workflow.
-Basic knowledge of Microsoft Office programs, Excel, Word, and Outlook.

Desirable Attributes
-Some background knowledge of Special Educational Needs and Disability related arts and/or school based work.
-Copywriting skills (for marketing emails).
-Knowledge of/ability to use a Sharepoint database (school contacts and school bookings).
-Knowledge of/ability to use Microsoft Word and Outlook to create mail merges for direct marketing to contacts.
-Knowledge of/ability to use Microsoft Excel to create schedules (an overview schedule and weekly breakdowns).
