Main Duties

Projects and Events:
- Supporting the Creative Director and Head of Programme and Engagement by providing
projects and events support for Art Reach's portfolio of festivals, events and engagement projects e.g. Journeys Festival International, Re/Action and other artistic projects delivered throughout the year
- Liaising with artists, arrange venues, transport, accommodation, catering and equipment as required to deliver projects and events
- Supporting with project/event financial record keeping as required such as helping to keep an appropriate record and audit trail for project activity for key funders
- Supporting evaluation and documentation of our programmes, events and festivals.
- Supporting the Head of Consultancy and Executive Director with the delivery of our consultancy projects and other cultural networks or programmes delivered by Art Reach throughout the year. This includes supporting research and data analysis, training sessions, and client and community consultation events

Marketing and promotions:
- Assisting the Head of Communications and Audience Development with the delivery of Art Reach's social media schedules, promoting content across Facebook, lnstagram, Linkedln, X, etc.
- Assisting with the writing and promotion of the monthly email newsletter to promote Art Reach projects, events and festivals
- Designing leaflets and other promotional materials in-house using Canva
- Supporting other promotional activities in relation to Art Reach's projects and event

- Supporting the Executive Director to maintain, coordinate and implement administrative policies, systems and procedures that support the Art Reach business, in particular helping it to fulfil its reporting requirements around the environment, equality and diversity and
organisational development.
- Coordinating the Art Reach office, communication systems, resources and archive function so they efficiently support Art Reach team members in their delivery role.

Skills and Qualifications required

The candidate doesn't need to be a graduate. We are looking at this as a developmental opportunity for you. You will need to demonstrate a keen interest in the arts.

Skills and abilities:
- Excellent computer literacy skills with an ability to use standard office programmes e.g. word, excel
- Confident and clear communication skills, written and verbal
- High standards of accuracy and attention to detail
- Organisational and time management skills with the ability to multitask as part of a varied portfolio of projects and events that would be typical of this role
- Good interpersonal skills, confident and professional manner
- Ability to manage own time, prioritise workload and work under own initiative
- Commitment to effective team working and a flexible approach to working practices
- An interest in arts and heritage or charity sector (desirable)

- Experience of providing coordination and administrative support to a range of projects or events and festivals, for example coordinating events logistics (e.g. venue hire, etc.)
- Budget administration including financial data entry and record-keeping
- Record-keeping and filing
- Experience of working in a small team
- Office administration including experience of responding to external enquiries via email and telephone, ordering supplies, etc.
- Proficient in the use of Microsoft Office and/or other cloud-based systems e.g. Microsoft 365 or Dropbox.
- Experience of coordinating content for social media or other types of project communications e.g. writing for newsletters (Desirable)
- Dealing with confidential information (Desirable)
- Coordinating or managing projects for external clients, customers or stakeholders (Desirable)

- Knowledge of using systems for data entry and reporting
- Experience of monitoring budgets
- Understanding of data management in line with GPDR and PECR legislation (desirable)
- Awareness of digital and cloud based solutions to support remote working
