Job Overview

Reporting to your Line Manager, you will be trained and developed across the business.
Your role will include but is not limited to;

•    Answering telephone calls and taking messages.
•    Making calls to clients and other parties as required.
•    Working efficiently on the client management software.
•    General office duties including taking messages, sending emails, scanning documents, filing, sending literature with information to clients etc.
•    Provide typing, audio typing or transcription services.
•    Arranging client appointments and coordinating diaries including maintaining key date diary.
•    Maintaining records of calls, visitor logs and client attendance logs. 
•    Collating data and preparing weekly/monthly reports, if necessary.
•    Greeting clients and other guests that enter the office in a welcoming, friendly manner. 
•    Reception duties including hospitality and offering a hot/cold drink to visitors/clients/guests/other staff members.
•    A chargeable daily target recorded as agreed with Management. 
•    PA (reasonable) duties to the Partners and Senior Management as and when required.  
•    Attending networking, marketing and training events.
•    Assisting and supporting the fee earner on a range of client matters.
•    Fee earning and assisting with casework.
•    Drafting legal documents and applications.
•    Meeting with clients and conducting meetings
•    Taking instructions and preparing cases.
•    Dealing with correspondence.
•    Assisting with billing as well as various administrative tasks.
•    Showing initiative and establish positive working relationships with colleagues.
•    Working independently and as part of a team.
•    Working diligently on own caseload of matters to meet individual and team targets.
•    Liaising with clients and third parties.
•    Completing file opening and closing procedures.
•    Processing client ID checks and client correspondence.
•    Working closely with Solicitors and in relation to managing new enquiries and exploring new business development opportunities.
•    Responding to new enquiries by telephone and email and keeping a proper record of the same.
•    Support with social media content and coverage
•    Working under pressure and meet critical deadlines.
•    Working independently and proactively.
•    Working to a high level of attention to detail.
•    Articulating and building a rapport with clients.
•    Working on a case management software.
•    Liaising with clients and third parties.
•    Completing file opening and closing procedures.
•    Presenting excellent communications skills, written and verbal.
•    Typing own letters and emails.
•    Conducting own meetings.
•    Preparing bundles and legal research.
•    Preparing, scheduling and organising relevant documentation.
•    Dealing with clients both by phone or in person.
•    Maintain diary detailing appointments, receipt of documents, transaction milestones etc.
•    Undertake any other duties as required, commensurate with the level of the post.

General responsibilities (applies to all staff) the tidiness of the front reception area & Meeting rooms including light cleaning duties such as washing, vacuuming if and when required. Emptying bins and taking rubbish out.  Watering plants and light dusting of reception areas and meeting rooms, when necessary.

Skills and Qualifications required

  • Candidate needs a Law Degree
  • Ideally should have some experience of customer facing roles.

Hours per week

9am to 5.30pm, Mon – Fri
